The Order Consolidation (Recap) with Inventory Adjustments form is used to consolidate orders for products ordered within a date range you decide.  It could be weekly, monthly, yearly or anything in between.

 

This form then compares your orders to your current inventory and allows you to adjust your order  with consideration to the inventory you have.  It's a great way to manage your inventory and consolidate or roll-up your orders all in one place.

 

  • Consolidate your orders.  If you are rolling up 50 orders/week by hand this would be a huge time saver.
  • Compare orders to your inventory.
  • Manage your inventory "on the fly" without visiting the Inventory form repeatedly.
  • Generate beautiful reports of your sales which can be used to place your product order.

Overview

FYI: The Order Consolidation (Recap) with Inventory Adjustments report only summarizes the information contained in the Orders section of your database.  Thus the Order Date is the critical date, unlike the Business Activity Report in which the Show Date is critical.   If your show falls within the date range selected have an order with a date that falls within your date range, but is not tied to a Show that is within your date range, those sales WILL NOT be included in the report.

  1. Be sure your inventory is accurate.

  2. Initially, a form opens which asks for a date range.  This is not shown on this page.  Enter your desired date range in this form.  NOTE:  The database stores your last Order Consolidation w/ Inventory Check in case you have a back order.  It allows to go back to previous Inventory levels without much trouble.

    • If you would like to see the previous Order Consolidation report generated, LEAVE THE BOX IN THE DATE RANGE FORM CHECKED!

    • If you would NOT like to see the previous report generated and would like to overwrite the old information and generate a new Order Consolidation report, UNCHECK THE BOX LOCATED IN THE DATE RANGE BOX!

  3. NOTE: The information you get out is only as accurate and the data you enter.  Be sure of your Order Dates located on the Orders form.

  4. Toggle the "+" and "-" signs to adjust your inventory level to the level you feel comfortable.  Your Final Order Quantity is the value to be concerned with.  For beginners, note the heading for each column.  As you press the "+" and "-" signs note how the numbers are rising and falling.  This will give you a better idea of how the program is adjusting your order.

  5. Press Print Adjusted Inventory Report when you are satisfied with your inventory levels and the report generates automatically.

  6. It's wise to print a hard copy of your report using the printer icon located at the top of the report that opens.

 

Hint:  If a product is only ordered in a box of 12, your order is for 7 and you only have 5 in stock your resulting inventory level is 10.  Because you can only buy a full box of 12 of the item, pretend your order is filled entirely with the product freshly ordered and the remaining 5 go into your stock.  Your inventory should be adjusted to reflect this.

 

To print a report Weekly, Monthly or Yearly or any other date range, simply enter that range in the fields labeled in the date range form.

 

Typical Problems Encountered:

  • Date range is wrong.
  • Order Date is wrong.  Find the Order in question and update the Order Date to the proper date.  Look for simple changes such as the incorrect year and such.
  • Inventory levels are incorrect.
  • Show information is incorrect for the header section of the report.
  • The check box located in the Date Range form that opens, is either left uncheck by accident and your previous report is lost or you keep leaving the box checked and the report that generates is not what you are looking for.
