The Show Information form  is used to store information about your product shows.

How to Use This Form

 

 

 

Overview

 

The Show Information form is used to enter and maintain data about home shows; individual or brochure shows and personal Home Interior supply orders.  The form is only one page and is simple to use. 

 

The database is built around defining shows and placing orders against those shows.  To work on information about a specific show, the first step is to make that show active.  As the different forms are navigated a single show is typically active.  The active show can be changed at any time on the Main Switchboard or in the Show Information form.  There is additional functionality in the program that does not require an active show.  These functions include inventory, mileage and expense tracking and label creation.  Newly created shows are made the active show automatically.

 

To Enter an Customer Name:

  • Press the Add New or Add New Guest w/ Info button.

Warning: Failure to hit the Add New button will result in overwriting the current name in the database.

  • Add the guest information.  The First Name is all that is required to create a new guest in the database.  The remainder of the information can be filled in as desired to track your customer.

Find an Existing Show Definition:

  • Use the drop-down menu located in the upper right corner of the form to locate an existing Show Definition.  Shows are organized by date. 

# Guests/Orders Field

This field is used in the Business Activity Report and to create Show Information Mailing labels.  The program creates Show Information labels equal to the number in this field.  This number must be fill in before Show Information Mailing labels can be printed.

Determine the Number of Bonus Buys Remaining:

You can display or print a report that lists all outstanding shows which the Number of Bonus Buys Remaining does not equal 0.  This allows you to quickly manage your bonus buys for those hostesses who want to save their bonus buys to a future time.

  • Click the # BBuys Remaining button at the top of the form and the report automatically appears.  Click the printer icon located at the top of the report to send it to your printer.

 

Create a Report Showing Show Results by Hostess Name:

 

The Shows by Hostess button located at the top of the form produces a report which shows all shows entered in the database sorted by the Hostesses Name.  It also calculates totals per the Hostess and organizes other important information.

  • Click the Shows By Hostess button at the top of the form and the report automatically appears.  Click the printer icon located at the top of the report to send it to your printer.

 

Creating a Show Mailing List:

  1. Fill in names at the Guest List (Optional) located at the bottom of the form.  It is easiest if all of the names you will enter are already in the database under the Guest Information form.
  2. To print mailing labels, press the Mailing Labels button to the right of the Guest Name field. 

 

Show Total and Wholesale Total:

 

These totals can be entered manually or can be updated automatically when orders are placed against the Show.  Be sure that if you choose to enter the value manually, it does not get overwritten automatically when you place an order against that Show.

 

Create Multiple Mailing Lists:

 

The Guests List section of the Show Information form can be used to create a unique mailing list of guests names and addresses with data taken from the Guests Information table.

 

  1. Add a fake Guest Name using the Guest Information form.  Create a name that would describe your new mailing list in an obvious way.  For example, First Name: “Hostesses” Last Name: “Active”.  This will appear as “Active Hostesses” in step 2.
  2. Create a new show using the Add New button and the fake name created in step 1.
  3. Add new names, if needed, in the Guest Information form.
  4. Return to the Show Information form and fill in names at the Guest List (Optional) located at the bottom of the form. 
  5. You are finished!  To print mailing labels, press the Mailing Labels button to the right of the Guest Name field. 

 NOTE: Before adding new names, a search can be performed using the Search Names drop-down menu. Simply click in the drop down field and start typing the last name of the person who you are searching.  As you type names that begin with the sequence of letters you have typed begin to appear in the drop down menu. Stop typing when the name of the person is shown in the field and press enter.
